01How Files Reach Us
You share source files through secure transfer links we provide, or another method we agree in advance. We ask that you keep your own master copies at all times, since you remain the primary custodian of your original recordings.
02Supported Material
We work with common audio formats and their associated session or reference files. If your material is in an unusual format, let us know in advance so we can confirm we can open and process it before the project begins.
03How We Use Uploaded Files
Uploaded files are used solely to perform the services you request. We do not repurpose your recordings, share them outside the team members working on your project, or use them to train any system without your explicit consent.
04Storage and Access
- Files are stored in controlled locations with access limited to personnel working on your project.
- We use reasonable safeguards, including access controls and encrypted transfer where available.
- We keep working copies only for as long as needed to complete the work and honor the revision window.
05Retention and Deletion
After delivery and the close of the revision window, we retain project files for a limited period so we can assist with follow-up requests, then delete or archive them according to our schedule. You may request earlier deletion of your source files at any time, and we will confirm once this is done, subject to any records we must keep for legal or accounting reasons.
06Backups
Temporary backups may exist as part of routine system operation. These are also subject to deletion cycles, and any copies retained for continuity are protected by the same safeguards described here.
07Your Responsibilities
- Keep a secure master copy of every file you send us.
- Ensure you are permitted to share the material, as set out in our Copyright & Client Content Policy.
- Let us know promptly if a file should be handled with particular sensitivity.
08Security Incidents
If we become aware of a security incident that affects your files or personal information, we will take prompt steps to contain it and will notify you where required by law and appropriate under the circumstances.
09Changes to This Policy
We may update this Policy as our tools and practices evolve. The “Last updated” date indicates the current version, which applies to files handled from that date forward.
